1. Data user and scope of application
This policy applies to personal data collected by OPO Inspection ('we') operating in Hong Kong through this website, WhatsApp, telephone, email, and while providing property inspection services. We handle personal data in accordance with the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) and applicable data protection principles.
This policy does not supersede the Personal Information Collection Statement provided to you in specific collection contexts. If there is another statement, it should be read together. This policy also does not apply to websites or services operated independently by third parties.
2. Data we collect
We collect appropriate and not excessive data as required by enquiries or services, which may include:
- Name, title, telephone number, WhatsApp number, email address, and any messages or attachments you send us.
- Estate name, unit address, usable area, property condition, handover and booking time, and contact arrangements required to enter the unit.
- Inspection results, unit photos, test records, and property inspection reports relevant to the agreed scope. When taking photos, avoid including portraits, identification documents, or personal items unrelated to the inspection.
- Quotes, service confirmations, payment amounts, dates, transaction numbers, and payment proofs; please redact balances or other transactions in payment screenshots that are irrelevant to transaction verification.
- IP addresses, browser and device information, access times, request logs, and error logs that may be generated by hosting or third-party technical services when browsing the website.
3. Is providing data mandatory?
You generally do not need to provide your name or contact details to browse the website. Data required for enquiries or bookings is provided voluntarily, but if contact details, unit information, or necessary entry arrangements are missing, we may be unable to reply, provide quotes, confirm bookings, or complete the service.
Please only provide third-party data you have the right to disclose to us, and explain the purpose to the relevant person. Unless reasonably necessary and stated otherwise, do not send copies of ID cards, complete bank details, payment passwords, or verification codes.
4. Purpose of data
We only use data for the purposes notified at the time of collection or directly related purposes, including:
- Responding to enquiries, understanding property inspection needs, providing quotes, and confirming the scope of service.
- Arranging bookings, contacting customers and authorized on-site contacts, conducting inspections, and delivering reports.
- Processing receipts and payments, issuing records, verifying transactions, following up on service feedback, and handling disputes.
- Maintaining website security, troubleshooting technical issues, and fulfilling applicable legal, accounting, or regulatory requirements.
5. Data disclosure and service providers
Data is restricted to authorized personnel with a work need, and service providers who provide support for the aforementioned purposes as needed. We will use contracts or other practicable methods to require personnel or service providers handling data on our behalf to observe appropriate confidentiality, security, and retention arrangements.
We will not automatically transfer your contact details to other group members for independent promotion due to your use of property inspection services. Before using personal data for public cases, photos, or testimonials, we will obtain separate, appropriate consent or process them in an anonymized manner.
If required by law, court order, or authorized agencies, or as permitted by applicable law for handling legal claims, we may need to disclose relevant data.
- WhatsApp/Meta: When you choose to contact us via WhatsApp, messages, phone numbers, and attachments will be transmitted and processed through that platform.
- Email and communication service providers: For sending, receiving, and storing service communications between you and us.
- Website hosting and technical support: This website is currently hosted on Replit; relevant providers may process website requests, IP addresses, and operational logs.
- Google Fonts and Google Maps: When the website loads fonts or embedded maps on the contact page, your browser will send requests to Google, which may transmit IP address, device, and browsing information.
- Bank and payment service providers: When using Faster Payment System (FPS), real-time transfer, PayMe, or Alipay, transaction data is processed by the respective bank or platform according to their policies; we receive or verify payment records as needed. Cash payments may also result in receipts and audit records.
- Commissioned property inspection personnel, relevant testing, or report support personnel: They only obtain necessary booking, on-site, and inspection data within the scope of the agreed service.
7. Retention period and security
We only retain data for the period necessary to achieve the collection purpose, service follow-up, and for applicable legal, accounting, or dispute resolution needs; when no longer required, we will take practicable steps to delete or anonymize it, except where required by law.
We take practicable security measures to limit data access and reduce the risk of unauthorized access, use, accidental loss, or disclosure. However, the internet and communication platforms cannot guarantee absolute security; please do not send payment passwords or other unnecessary sensitive data through general communication channels.
Some communication, hosting, or technical providers may process data outside of Hong Kong; we evaluate and adopt appropriate security measures in accordance with applicable regulations and do not treat storage within Hong Kong as an automatic guarantee.
8. Direct marketing and your choices
General service enquiries, booking notifications, or report follow-ups do not mean you have agreed to receive promotions. If we intend to use your personal data for direct marketing, we will first legally explain the categories of data intended for use, the categories of promotional services, and the response method, and obtain the necessary consent; silence is not considered consent.
You may request to stop using your data for direct marketing at any time via the email below, free of charge. Refusal to receive promotions does not affect agreed property inspection services or necessary service notifications.
9. Access, correction, and other requests
You may email enquiry@opoexpert.com.hk to request access to or correction of your personal data held by us. Please provide sufficient information to identify the relevant records; we may need to reasonably verify identity to avoid disclosing data to unauthorized persons.
We will process requests in accordance with the procedures, time limits, and applicable exemptions of the Personal Data (Privacy) Ordinance. If a fee is legally charged for data access, the fee will not exceed the directly related and necessary costs, and you will be informed in advance. You may also request deletion of data no longer needed or withdraw specific consent given; we will evaluate this based on the law and the reasons for still needing to retain the data, rather than guaranteeing that all data can be deleted immediately.
If you have questions about data processing, please contact us first; you may also enquire with or complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong.
10. Policy updates and contact
We will update this policy due to changes in services or data processing methods, and the update date will be listed on this page. If it involves new data uses or changes requiring consent by law, we will notify you separately and obtain consent according to applicable regulations, rather than just making changes to this page.
